By commissioning us you are agreeing to the following Terms of Service.

1. General

You must be over the age of 18 to commission a fursuit or fursuit parts from me. I might ask for proof of age prior to agreeing on a commission.

I will not, under any circumstances, work with minors.

Buyer understands that fursuits can be hard to wear! They can be bulky, claustrophobic, hot, and have less visibility.

I am not responsible for any injury you may incur while in your suit, including, but not limited to heat stroke, falls, panic due to claustrophobia.

I have pets that are often around me in the workshop while I am working on suits, while they is not allowed on the fabrics this does not mean that this never happens.

I do not recommend commissioning me if you have a pet hair allergy.

2. Quote

When I am open for projects I will open my quote form. It includes all the information I need to create a quote and work on your project. Please fill out that form. If there are any questions feel free to message me on telegram (@thatmau) or send me an email (info@s-coenen.nl) to get help.

After you have filled out the quote form I will prepare a custom quote for your commission and send it out via Telegram (preferred) or email. This quote is valid only for the 3 months from the day it was sent out. The quotes are not negotiable, but you may still decline the quote. As soon as an order has been created from this quote, point 4 of these terms of service applies.

Buyer must provide an accurate Ref Sheet to receive a quote..

2.1 Other requirements

For fullsuits or ¾ suits we will require a duct tape dummy from any customer. I do not work with measurements only to ensure the best possible fit. I will also require a few measurements of your head if your commission includes a fursuit head as well as hand and shoe sizes for paws and measurements for arm- or legsleeves.

3. Payment

After a commissioner accepts their quote they will be put into our queue.
This queue is always visible on my Trello – https://trello.com/b/D5XorJ5m/projects-bearnubstudio

30% of the commission price must be paid as a deposit within 10 working days after receipt of the invoice, unless otherwise agreed upon. The remainder is to be paid in full before shipping your item out.

You may schedule payments with me of at least €500 per month. If you need to reschedule a payment please contact me as soon as possible so I can work with you on this. If you fail to make payments in excess of 3 months with no contact I will assume you no longer want the costume.

If, unexpectedly, after receipt of the invoice and after the cancellation period has expired, there is no payment or no mutual withdrawal of the order (e.g. due to ghosting or deletion of the account), I reserve the right to charge for previously worked hours (this also includes the preparation of the quote and the invoice(s)) at €25 per hour and, if necessary, to charge reminder fees of €10 per reminder. Reminders are only sent by registered mail. Any costs incurred for this shall also be borne by the customer.
After 6 months further steps will be taken.

Payment options are bank transfer (preferred) or PayPal.

All payments are to be made in euros. The customer bears any conversion or transaction fees.

4. Right of withdrawal

You have the right to cancel this contract within fourteen days without giving any reason. The cancellation period is fourteen days from the day the contract is concluded.

In order to exercise your right of withdrawal, you must inform us

Bear Nub Studio – Saskia Coenen
Benninghofer Heide 68

016091373661
info@s-coenen.nl,

of your decision to cancel this contract by means of a clear declaration (e.g. a letter sent by post or email). To meet the cancellation deadline, it is sufficient for you to send your communication regarding your exercise of the right of cancellation before the cancellation period expires. Whatsapp or Telegram is not a means of clear declaration.

4.1 Consequences of cancellation

If you cancel this contract, I will have to refund all payments made by the customer to me, including delivery costs (with the exception of the additional costs that result from the fact that you chose a different type of delivery than the cheapest standard delivery I offer) no later than within fourteen days from the day on which I received notification of your cancellation of this contract. For this repayment, I use the same means of payment that you used in the original transaction, unless expressly agreed otherwise with you; under no circumstances will you be charged any fees for this repayment.

5. Refunds/Cancellations

I may choose to cancel a project at any time if I don’t feel comfortable working with a client or for any other personal reasons. If I do so the client will be refunded their money and any materials already bought will be used for further projects.

If a client decides to cancel a commission (after the cancellation period) the procedure depends on the stage of the commission.

If there is already progress on building items, the commissioner will be asked if they would prefer a full refund, or would like to remain owner of the items; Then a price will be put on the items and will be used as a reduction. These items will be shipped out.

6. Deadlines

I do not work with deadlines. A customer may ask to receive their fursuit in time for an event but we will not guarantee completion by a set date.

Every project will be completed within 6 months after we received the last payment. In case of delays, and in consultation with the customer, this deadline may be extended by up to 3 months, to a total of 9 months.

7. WIPs

Work in progress photos may be published on any social media, unless requested otherwise. Please inform me if you don’t want your WIP photos published before I start on your commission. In this case I charge a fee of 5% of the total project price.

Photos will be taken and published when smaller parts are finished and after significant steps on larger projects. The customer will receive additional pictures during the process to be able to communicate any changes if necessary. More WIP pictures can be requested at any time but we do not recommend this to not interfere with our workflow.

Our telegram channel can be accessed through https://t.me/BearNubStudioDE

8. Warranty

All fursuits have a warranty of 24 months. After a period of 6 months after delivery the customer must prove that the defect was present at the time of delivery.

This warranty covers all defects that are not caused by improper handling or deliberate destruction of the costume. The following defects will be covered by the warranty (examples):

  • popped seams or ripped fabric
  • glued parts coming loose
  • improper fit
  • broken parts (e.g. claws)
  • loose eye-mesh (e.g. from a child that poked into the eye)
  • loose or ripped belt loops on the tail (e.g. from a person pulling on the tail)
  • similar small defects

The following handling of your items will make it easier for me to provide you with full warranty:

  • Picking up head properly, not by ears, nose, horns, antlers …
  • Brushing regularly to avoid clumped or matted fur.
  • Regular cleaning to avoid smells and bacterial/fungal growth (trust me, it can happen). washing instructions will be provided with every suit.
  • Avoid getting eyes or mechanic parts (jaw hinges, battery packs …) wet.
  • Avoid mud, wine, and anything else known to leave a stain.
  • Avoid direct exposure to sources of intense heat (heat gun, fire, dryer) as this may damage the fur.

Within the warranty period I will Not cover shipping costs for the items. Small repairs can be made at events (e.g. conventions), if agreed to beforehand.

Making adjustments to the suit yourself, without previous agreement, can void the warranty.

All fursuits are custom-built, and are not eligible for returns or exchanges.

All items have to be cleaned before sending them to me.
Should you send in dirty fursuit parts for a repair or edits I have the right to charge an additional fee or refuse to work on them.

9. Shipping and customs

The buyer covers all shipping and customs costs incurred. The shipping costs are determined after completion of the order and must then be covered by the buyer.

Shipping within Europe will be handled via DHL. Internationally UPS might be used if necessary.

Pickup at events is possible if agreed to beforehand and if I am also attending.
Pickup at home is possible if agreed to.

Leftover fur and other materials will not be sent to the customer unless agreed upon otherwise.

Please be aware that customers are responsible for all shipping charges and any customs charges they may incur.

10. Other Services

I also offer different kinds of suits including murrsuits, lockable trapsuits/plushsuits,  etc.
If you are interested in a commission of that type please don’t be shy to inquire privately, I am open to take on any commission I feel I can complete to the customers satisfaction.

They will be handled discreetly by default meaning no explicit public WIP pictures will be published. If no public progress pictures are desired, point 7 of our terms of service applies.

If you ever need replacement items please contact me, and I can quote you for individual items.

Please be aware that I can make no guarantee on matching fabrics exactly years later as even the same color of fabric from the same manufacturer can vary slightly with each new dye lot they produce. I offer the option of buying extra fur for you to keep in stock for repairs or future items but I do not keep this myself.
